We use your information to:
- Respond to enquiries and give you a quote
- Book and carry out your inspection
- Produce and send your report or certificate
- Take payment and keep financial records
- Deal with any questions or complaints
- Meet our legal, regulatory and insurance obligations
We won’t send you marketing unless you’ve agreed to it, and you can opt out at any time.
4. Our lawful basis
We process your information because it’s needed to provide the service you’ve asked for (contract), to meet our legal and regulatory duties (legal obligation), and to run our business properly (legitimate interests). Where we rely on your consent, you can withdraw it at any time.
5. Who we share it with
We only share your information where we need to, including with:
- The government EPC register, as all EPCs must be lodged there by law
- Our EPC accreditation scheme, for quality auditing
- RICS, if needed for regulatory monitoring or complaints
- Our professional indemnity insurers
- Estate agents or vendors, only to arrange access to the property
- Suppliers who help us run the business, such as our website host and email provider
We never sell your personal information.
6. How long we keep it
We only keep your information for as long as the law and our professional obligations require:
- Reports and related records are kept for 15 years, which reflects the longest period a claim can be brought under UK law
- Financial records are kept for 6 years, as required by HMRC
- Enquiries that don’t lead to a booking are deleted after 12 months
7. Your rights
Under UK GDPR, you have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct anything that’s wrong
- Ask us to delete your information, where we don’t need to keep it
- Object to or restrict how we use it
- Ask us to transfer it to someone else
